Schedule and Manage Meetings

You can schedule a one-time or repeating meeting and invite specific members and experts. Times are saved with the organizer's timezone and displayed in each invitee's local timezone.

Schedule a Meeting

  1. Open Meetings from the sidebar.
  2. Click Create meeting, then choose Schedule for later.
  3. Enter the meeting title.
  4. Choose the First meeting date and Time.
  5. Choose whether the meeting repeats.
  6. Select invitees from the Members and Experts tabs.
  7. Review the schedule summary, then click Schedule meeting.

The organizer and selected invitees see the meeting under Upcoming. At the scheduled time, it becomes available to join.

Repeat Options

  • Does not repeat — Creates one meeting at the selected date and time.
  • Daily — Repeats every day or at a chosen day interval. For example, set Every to 2 for every two days.
  • Weekly — Repeats every week or at a chosen weekly interval on the selected weekday.
  • Monthly — Repeats on the same date or the same weekday position each month.
  • Custom — Repeats at a chosen weekly interval on one or more selected weekdays.

Example: Every Monday at 10:00 AM

  1. Set First meeting to the first Monday you want to meet.
  2. Set Time to 10:00 AM.
  3. Set Repeat to Weekly.
  4. Set Every to 1 week and select Monday.
  5. Choose when the series ends, select invitees, and click Schedule meeting.

Choose When Repetition Ends

  • Never — The series continues until the organizer cancels it.
  • On date — No occurrences are created after the selected end date.
  • After number of meetings — The series ends after the selected number of occurrences.

Edit an Upcoming Meeting

  1. Open Meetings and select Upcoming.
  2. Find the meeting and click Edit.
  3. Change the title, date, time, recurrence settings, or invitees.
  4. Click Save changes.

Only the organizer can edit a meeting. Active and completed meetings cannot be edited. For a repeating meeting, changes update the upcoming series schedule and its future invitees.

Cancel a Meeting

The organizer can click Cancel on an upcoming meeting. For a repeating meeting, choose one of these options:

  • This meeting only — Cancels the displayed occurrence and keeps later meetings in the series.
  • Entire series — Cancels this occurrence and all future occurrences.

Cancelled meetings move to History and can no longer be joined.

Who Can See a Scheduled Meeting?

A meeting created from the Meetings page is visible only to its organizer and selected invitees. A meeting created inside a project is limited to active project members. Other signed-in users cannot discover or join the meeting by guessing its address.
